Privacy Policy

Voice Ideas turns your spoken thoughts into organized notes, tasks, reminders, and boards. That means we handle sensitive data — your voice and what you say. This policy explains what we collect, how it is processed (including by AI providers), how long we keep it, and the control you have over it. Your voice is yours.
1. Data we collect
- Account data. Your email address and authentication details when you sign up.
- Content you create. Audio recordings you capture, their transcripts, and the notes, tasks, reminders, checklists, tags, and boards generated from them.
- Usage & device data. Basic technical information such as app version, device type, and interaction events used to operate and improve the Service.
- Billing data. If you subscribe to Pro, our payment processor handles your card details; we receive only the subscription status and limited billing metadata, never your full card number.
2. Audio & transcripts
When you record, your audio is sent securely to a transcription provider to convert speech to text. You control what happens to the recording afterward: you can choose to delete the audio immediately after transcription, keep the transcript only, or save nothing at all. These controls are available in the app — no dark patterns, and the choice is yours to change at any time.
3. How AI processing works
To organize your thoughts, transcripts (and, for transcription, your audio) are processed by third-party AI providers, currently OpenAI (Whisper speech-to-text) and Anthropic(Claude, for structuring and summarizing). These providers process your content only to return a result to us. We do not use your content to train AI models, and our providers state that data submitted through their APIs is not used to train their models. AI output may be inaccurate — always review it before relying on it.
4. Third-party processors
We share data with a small set of vetted providers strictly to run the Service:
- Supabase— database, authentication, and file storage for your account and content.
- OpenAI— audio transcription (Whisper).
- Anthropic— AI organization and summarization (Claude).
- PostHog— product analytics (optional; see below).
- Payment processor— subscription billing for the Pro plan.
Each processor handles your data under its own terms and only as needed to provide its function. We do not sell your personal information to anyone.
5. Storage & infrastructure
Your account, content, and (if you choose to keep it) audio are stored using Supabase. Access to your data is restricted by row-level security so that you can only read and write your own records, and data is encrypted in transit. Data may be processed in regions where our providers operate; where required, appropriate safeguards are used for international transfers.
6. Analytics
We use PostHogto understand how features are used so we can improve them. Analytics capture product events and basic device information — not the contents of your notes or transcripts. Analytics are optional and can be disabled; where required by law, we ask for consent before enabling them.
7. Cookies
On the web, we use strictly necessary cookies to keep you signed in and to operate the Service. We may use additional cookies for analytics only where permitted or with your consent. We do not use third-party advertising cookies.
8. Retention & deletion
We keep your content for as long as your account is active or as needed to provide the Service. Audio is retained only according to the preference you set (see “Audio & transcripts”). You can delete individual items, export your data, or delete your entire account at any time. When you delete your account, we remove your content from active systems promptly and from backups within a reasonable period, except where we must retain limited records to comply with legal obligations.
9. Security
We protect your data with measures including encryption in transit, scoped database access controls (row-level security), authenticated API access, and rate limiting. No system is perfectly secure, but we work to safeguard your information and to limit access to it. If you have a security concern, email hello@voicethoughts.app.
10. Your rights (GDPR & CCPA)
Depending on where you live, you may have the right to access, correct, export, or delete your personal data, to object to or restrict certain processing, and to withdraw consent. California residents have the right to know what personal information we collect and to request its deletion, and not to be discriminated against for exercising these rights — and note that we do not sell personal information. Many of these actions are available directly in the app; for anything else, contact us and we will respond within the time required by applicable law.
11. Children
Voice Ideas is not directed to children. You must be at least 16 (or the minimum age of digital consent in your country) to use the Service. We do not knowingly collect data from children below that age; if you believe a child has provided us data, contact us and we will delete it.
12. Changes to this policy
We may update this policy as the Service evolves. If we make material changes, we will update the “Last updated” date and, where appropriate, notify you in the app or by email. Continued use of the Service after changes take effect means you accept the updated policy.
